Funding and funder requirements for artistic and research projects

Connect funding opportunities and funder requirements to the project early — and involve Support Art and Research in good time

Funding conditions affect the project idea, proposal, budget, personnel, data management, Open Science, rights, communication, reporting, preservation and project closure. Support Art and Research (SKF) accompanies project-based artistic, scientific and artistic-scientific work from development and funding orientation through submission and implementation to reporting, closure and possible follow-up perspectives.

CENTRAL FIRST STEP

Contact Support Art and Research as early as possible

If you want to develop a project idea, identify suitable funding, assess a call, prepare a proposal or translate funder conditions into project planning, SKF is the central project and funding hub. The unit provides substantive, administrative, financial and conceptual support, expert feedback on project concepts, accompanies submission processes and coordinates with the relevant specialist services of the University where needed.

A call is more than a submission deadline. Read the call, guidelines, cost rules, reporting duties and project-specific requirements together. SKF can help connect the funding logic to the concrete project and the Angewandte's internal processes.
Always use the current call and binding funding conditions. Programmes, deadlines, cost rules and submission routes can change. This Navigator page provides project orientation; the current programme documents and requirements clarified with SKF and the relevant specialist services remain authoritative.
STEP 1 · CLARIFY THE PROJECT & FUNDING NEED

Describe the project first — then find the funding logic that fits

SKF supports the development of concrete project ideas and content and connects them with internal or external funding options.

Project idea: What should be developed, investigated or enabled through artistic, scientific or artistic-scientific work?
Project format: Individual project, team project, cooperation, consortium, pilot, publication, event, infrastructure development or another format?
Institutional context: Which department, institute or other unit hosts the project at the Angewandte?
Project team: Which internal and external people or partners are expected to participate?
Duration: When should the project start, and are preparation, submission, decision and implementation timelines realistic?
Resources: Which personnel, material, travel, infrastructure, communication or external-service costs are expected?
Outputs: Which results, works, data, publications, formats or deliverables are planned?
Funding objective: Do you need project funding, project development, networking, proposal preparation, mobility, publication or another resource?
Follow-up perspective: What further development could grow from the project?
Contact with SKF: Which questions should be clarified together before selecting or submitting to a call?
WHAT SKF SUPPORTS ACROSS THE PROJECT CYCLE

Funding support does not end when the proposal is submitted

Ideas & project development.
Developing concrete project ideas, conceptual advice, expert feedback and connecting ideas with funding opportunities.
Funding research & programmes.
Researching and opening up internal and external funding opportunities and advising on funding formats and call fit.
Proposal development & submission.
Substantive, administrative, financial and conceptual support, review/editorial work, submission management and, where applicable, formal institutional steps.

STEP 2 · CHECK THE CALL & FUNDER REQUIREMENTS

Translate the call into concrete project decisions

Check fit

Clarify with SKF whether the objective, project type, applicant, team and institutional context fit the funding scheme.

Map all deadlines

Include the external deadline, internal coordination, approvals, partner documents and required lead times.

Understand cost rules

Check eligible and ineligible costs, personnel categories, overheads, own contributions and programme-specific budget rules.

Map content requirements

Identify required objectives, methods, work packages, impact, risks, ethics, Open Science and other proposal sections.

Clarify project roles

Define the applicant, project lead, partners, institutional responsibilities and any signatures or confirmations required.

Transfer funder requirements

Record requirements for data management, Open Access, communication, rights, retention, reporting and preservation in the project plan.

Involve internal specialist services

Where needed, SKF coordinates the connection to Legal, Finance, HR, data, IT and other responsible units.

Confirm the submission route

Use the process defined for the specific funding scheme and clarify the necessary internal steps with SKF.

SKF supports different funding and project formats

Internal funding programmes

SKF provides information on and administers or supports internal Angewandte funding formats, including current programmes such as SUP and PORT according to their respective calls.

National research funding

For funders such as FWF, FFG and other national programmes, SKF supports project development, call fit, proposal work and project coordination according to the specific scheme.

EU & international funding

SKF has designated expertise for international and EU funding opportunities and corresponding project development.

Artistic / artistic-scientific projects

SKF works explicitly at the interface of art and research and supports project formats combining artistic, scientific and artistic-scientific approaches.

Collaborative & partner projects

Where several partners are involved, SKF supports project-level coordination and connects funder requirements with internal and external interfaces.

Unsuccessful proposal

SKF can review reports and criticism with the project team, assess revision options and develop perspectives for resubmission where appropriate.

Funding programme / call: Name, version, link and authoritative programme documents.
SKF contact: Who is discussing the project with SKF and which next steps were agreed?
External deadline: When and through which system must the proposal be submitted?
Internal steps: Which coordination, approvals, confirmations or institutional steps are required beforehand?
Budget rules: Which costs are allowed, capped or excluded?
Required documents: Which texts, annexes, partner documents or confirmations are required?
Project conditions: Which requirements apply to data, Open Science, rights, ethics, communication, reporting and preservation?

If funded: Which steps are needed for project start, personnel, budget, infrastructure and reporting?

STOP & CHECK

Common warning signs around funding and funder requirements

SKF is contacted only shortly before the deadline.
There may no longer be enough lead time for call fit, internal steps, budget, feedback and specialist-service coordination.
Only the funding amount has been read.
Target group, funding logic, cost rules, reporting duties and project conditions remain unclear.
The external deadline is treated as the only deadline.
Internal coordination, partner documents or institutional steps can require additional lead time.
Budget and project plan were developed separately.
Costs, personnel, infrastructure and deliverables need to match conceptually and over time.
Open Science, data, rights or ethics are postponed until after funding.
These requirements can already shape the proposal, methods, budget and work plan.
Funder conditions live only in the proposal.
The project team needs them as active management information during implementation, reporting and closure.
